*Job Title: Apartment Administrative Assistant* *Job Summary:* We are seeking a highly organized and detail-oriented individual to join our team as an Apartment Administrative Assistant.
The ideal candidate will play a crucial role in supporting the day-to-day operations of our apartment community, ensuring smooth and efficient administrative processes.
This position requires excellent communication skills, multitasking abilities, and a customer-focused approach to provide exceptional service to our residents.
*Responsibilities:* * *Front Desk Support:* * Greet and assist residents, visitors, and prospective tenants.
* Answer phone calls and respond to inquiries in a professional and friendly manner.
* Manage incoming and outgoing mail and packages.
* *Leasing Assistance:* * Assist with the leasing process by preparing lease agreements and related documents.
* Coordinate move-ins and move-outs, ensuring accurate documentation.
* Conduct apartment tours for prospective tenants when needed.
* *Administrative Tasks:* * Maintain accurate and organized records, including resident files and lease agreements.
* Assist with data entry, filing, and document management.
* Collaborate with the property manager to compile reports and updates.
* *Customer Service:* * Address resident concerns and inquiries promptly and professionally.
* Maintain a positive and welcoming atmosphere within the leasing office.
* Work closely with the property management team to resolve issues effectively.
* *Vendor Coordination:* * Coordinate with maintenance staff and external vendors for repairs and maintenance.
* Track and follow up on work orders to ensure timely completion.
* Assist in managing inventory and ordering office supplies.
*Qualifications:* * High school diploma or equivalent; additional education or training in business administration is a plus.
* Proven experience in administrative roles, preferably in property management or real estate.
* Excellent communication and interpersonal skills.
* Strong organizational and multitasking abilities.
* Proficient in Microsoft Office Suite and basic office equipment.
* Familiarity with property management software is an advantage.
